Share a workspace with your team
On a paid plan you can give other people access to a workspace — a colleague, a client, the agency that runs your email. Each of them signs in with their own login and sees that workspace's domains and reports. There is no limit on how many people you invite, and no charge per person: pricing counts domains only.
A few facts up front:
- Sharing is per workspace. An invitation names one workspace and one role. To share a single domain, give it a workspace of its own first and move it there.
- Sharing needs a paid plan on the account that shares — Starter, Scale or Enterprise; a Starter or Scale trial counts. The person you invite needs no paid plan, and no DMARCmetric account before you invite them.
- Where it lives: the Members card on the Workspace tab of your account page.
Roles
The owner is the person whose account it is. There is exactly one, they have every permission on every workspace of the account, they can't be removed, and ownership can't be handed to someone else. Admin and member are given per workspace, so one person can be an admin of one workspace and a member of another.
| What you can do | Member | Admin (of that workspace) | Owner |
|---|---|---|---|
| View dashboards and reports, download and export | ✓ | ✓ | ✓ |
| Re-check DNS on the dashboard (Recheck DNS, or Re-check on the Domain health card) — it reads your public DNS and changes nothing | ✓ | ✓ | ✓ |
| Use a domain's settings page — see its DNS record and use Verify DNS | — | ✓ | ✓ |
| Check record on the Encrypted delivery (TLS-RPT) card | — | ✓ | ✓ |
| Name sending sources | — | ✓ | ✓ |
| Rename the workspace | — | ✓ | ✓ |
| Invite or remove members | — | ✓ | ✓ |
| Invite admins | — | — | ✓ |
| Add, delete or move a domain | — | — | ✓ |
| Turn failure reports on or off for a domain | — | — | ✓ |
| Create or delete a workspace | — | — | ✓ |
| Plan, billing and the original report files setting | — | — | ✓ |
A member can't change anything in the workspace and doesn't see a domain's settings page. Adding a domain is the owner's alone because it can change what the owner pays.
Inviting someone
The owner invites admins and members, on any workspace. An admin invites members only, and only to the workspaces they administer. A role can't be changed in place: to give someone the other role, remove them from that workspace and invite them again with it.
In the Members card, type the person's email address, pick the workspace and the role, and press Send invite. An admin opens that account's Members card with Manage members in their own Shared with you card; the role an admin can give is always Member.
We email the person an invitation to that workspace. The link in it works for 7 days. Until it is accepted, the invitation stays under Pending invitations with its expiry date and two buttons:
- Resend sends a fresh link, valid for 7 days from the resend, and the old link stops working at once. An expired invitation stays in the list for 30 days and can still be resent.
- Cancel withdraws it; the link stops working.
Inviting an address that is already in that workspace is refused, and so is a second invitation while one to that workspace is still under Pending invitations, expired or not: use Resend on it there. An admin has Resend only on member invitations; an invitation to be an admin is the owner's to resend.
To keep invitations from being used for spam, sending is limited. An account can send up to 20 invitations in any 24 hours, and one address can receive up to 3 in any 24 hours, from anyone. A Resend counts as a send. If you hit a limit, the card says which one; try again later.
Accepting an invitation
The invitation can only be accepted by the address it was sent to, once that address is confirmed. Opening the link:
- signed in with that address — press the Join button and you land on the dashboard;
- signed in with a different address — the page says so and offers to sign you out;
- without an account — sign up with the invited address, confirm it from the verification email, and you can join. You don't need to add a domain of your own.
If a link no longer works, it may have expired, been cancelled or been replaced by a newer one: ask the person who invited you to send it again.
Removing people and leaving
The owner removes a person from every workspace with Remove on their row, or from one workspace with the × on that workspace's chip. An admin can do the same for members of the workspaces they administer.
If someone shared workspaces with you, the Shared with you card on your account page lists them, with a Leave button per account. Leave removes you from every workspace that account shared with you, and your email settings for that account are deleted; to come back, you need a new invitation, and your settings start again from the defaults. The same happens when you are removed from the last workspace you had in that account, or when that workspace is deleted.
When the account drops to Free
People you shared a workspace with lose access while you are on Free; nobody is removed, and their access comes back by itself when you subscribe again — there is nothing to re-invite. While the account is on Free:
- invited people see that sharing for the workspace is paused, and no email from that account reaches them;
- no new invitations can be sent, and pending invitations can't be accepted (they still expire 7 days after they were last sent);
- the Members card shows a Paused tag on every shared row, and the owner can still remove people and cancel invitations.
What else changes on Free is in What happens when I downgrade to Free? on the pricing page.
Email: everyone has their own settings
Each person chooses their own digest frequency and alerts, for their own inbox, and nobody's choice changes anyone else's — with one exception: an alert type the account owner switches off reaches nobody, invited people included. An invited person starts on a weekly digest and the service notice about a domain's DMARC record, with every alert type off, until they change it.
- Invited people choose their settings for the shared workspaces in Email notifications & reports on their account page: report frequency, report detail, alerts and the service notice. When they have more than one set of settings — an account of their own, or a second account sharing with them — each set gets its own tab, and a shared one is labelled Shared by …. Their digests carry only the shared workspaces' domains.
- An alert type the account owner has switched off is greyed in those settings and marked the account owner has this alert off.
- The unsubscribe link in a digest turns off that person's digests from that account only.
The details are in Notification preferences and Email reports and digests.
